Best client management software for CA firms in India (2026)
Client management software for CA firms has an unusual job description. Your client record isn't a name and a deal stage — it carries a PAN, one or more GSTINs, a DIN, portal credentials, a DSC with an expiry date, an engagement scope, and the filing status of every period since you took the client on. And the "CRM" work isn't closing sales; it's chasing documents and fees, every month. We ranked nine platforms on how well they hold that record and do that chasing.
We stay independent; some links are sponsored. Every score follows our published method — how we review — and the 2026 rankings scoreboard holds the full ranked field.

How we ranked the best client management software for CA firms
We scored each platform on five things a CA practice needs from this layer, not on generic CRM feature counts:
- 1. Client master and credential vault. Does the record hold the statutory fields above, and are portal logins encrypted and permissioned?
- 2. Client portal and apps. Can a client log in, see what you need and upload it themselves — on a browser and on a phone?
- 3. Chasing. WhatsApp and email automation, templated and bulk, so reminders don't depend on someone remembering.
- 4. Lead pipeline and onboarding. Does a prospect become a structured client record without re-typing, and is onboarding a workflow rather than a favour?
- 5. Communication history. Is there one searchable trail per client — what was asked, when, by whom, and what came back?
Verified vendor pricing carries the most weight, and every third-party score is quoted with its review count — volume here is small enough that one unhappy user moves an average. The method is public on our how we review page and the same scores drive the 2026 rankings scoreboard; for the wider platform decision, start with our best CA practice management software guide.
Why a generic CRM doesn't fit a CA practice
Firms ask us this regularly, and the answer is that you can store the data but you can't run the practice. Sales CRM platforms as a category are built around an opportunity that opens, advances and closes. A CA relationship never closes — it repeats, monthly and quarterly, for a decade. A sales CRM has no concept of a GSTR-3B period, nothing to fetch from the GST portal and no idea that a DSC expiring on 30 September is a problem. You end up with contacts in one system, deadlines in a spreadsheet and documents in WhatsApp — the fragmentation you meant to fix. Their one genuine advantage is the top of the funnel, and the India-first platforms have closed that gap.
- 4.8 From ₹1,000/year (excl. 18% GST) · unlimited clients on every plan
QwikCA takes the top spot because it treats the client as one object instead of five. The client vault and CRM carries the master record — statutory identifiers, contacts, engagement scope and portal credentials encrypted with AES-256 — and it starts earlier than most rivals, with a lead-to-client pipeline that turns an enquiry into a live client record without anyone re-typing a PAN. Everything else hangs off that record: GST, TDS and ITR tasks auto-created per client and period, portal auto-fetch confirming what has actually been filed, and DSC expiry tracked so a lapsed signature doesn't surface on the day of a filing.
The client-facing half is where it separates from most of this list. Clients get a portal and a dedicated mobile app on Android and iOS, so documents arrive filed against the right client and period rather than as a forwarded photo. Chasing runs over the WhatsApp Business API plus templated email automation, so the reminder goes out whether or not anyone remembered it, and the exchange stays on the client's record instead of in one manager's phone. GST-compliant billing with Razorpay and UPI links then closes the fee loop — the second thing every firm is chasing.
It's proven across 2,000+ firms and 5,000+ active users — Indian CA, CS and tax practices of every size, from solo offices to mid-to-large, multi-branch firms — with TLS 1.3 in transit, role-based access and data residency in India. The honest caveats: cloud-only with no on-premise install, statutory-audit and ROC/MCA workflow depth lighter than the legacy filing suites, and DSC expiry tracked but no in-app e-signing.
Pros
- Client vault and CRM with a lead-to-client pipeline in one record
- Client portal plus a dedicated client mobile app (Android and iOS)
- WhatsApp Business API and templated email automation for chasing
- Encrypted credential storage, DSC expiry tracking and a UDIN register
Cons
- No on-premise option — QwikCA is cloud-only
- Audit and ROC/MCA workflows run shallower than the legacy filing suites
- Tracks DSC expiry but can't e-sign documents in-app
Plans are flat and yearly (excl. 18% GST), and none of them caps the client list: Solo ₹1,000 (1 user, 2GB), Starter ₹7,500 (10 users, 5GB), Growth ₹12,500 (20 users, the most popular tier), Scale ₹17,000 (40 users, 10GB) and Enterprise ₹27,000 (60 users, 20GB) — or ₹100/user/month billed yearly, ₹120 monthly. There's a one-month free trial with no card and a 30-day money-back guarantee; there is no permanent free plan.
- 2
Jamku
4.7 From ₹6,500/yr (5 users)Jamku holds #2 because its client, document and billing records are dependable and widely used — one of the most discussed practice platforms among Indian CA and CS firms, with the largest independent review base in the challenger pack (Capterra 4.5/5 from 36 reviews). The compliance dashboard users name as their reason for staying doubles as a per-client status view. For the demo list: recurring-task automation runs lighter than the tools above it, several fields that make a CA client record useful — GST/IT portal sync, the UDIN register, DSC-expiry alerts — ship in the separately priced Jamku Portal add-on, and our research didn't confirm a self-service client portal. QwikCA vs Jamku maps the gaps.
- 3
Turia
4.6 From ₹100/user/moTuria takes #3 as the tool that makes chasing a phone job. WhatsApp and email automation are built in rather than bolted on, the compliance calendar spans GST, ITR, TDS and ROC work (DIN KYC, AOC-4, MGT-7), and a DSC register raises expiry alerts before a signature lapses — one of the client-record fields most firms track badly. Android and iOS apps let a partner nudge a client from anywhere, and Tally and Zoho Books integrations keep ledgers in step. At ₹100–₹200/user/month the value is excellent; note the 5-user minimum, that SMS automation isn't offered, and confirm what clients themselves can see during the trial. QwikCA vs Turia compares them directly.
- 4
Finexo
4.5 From ₹5,999/yr (10 users)Finexo earns #4 on the least glamorous part of a CA client record: the credentials. It keeps them in an encrypted credential vault rather than the shared spreadsheet most offices still use, backs that with versioned document management, and auto-creates GST, ITR and TDS tasks per client with QRMP status factored in, plus ROC/MCA tracking and DSC alerts. Chasing runs as bulk WhatsApp, SMS and email — the widest messaging spread here — on flat pricing of ₹5,999/year for 10 users. It has fewer public reviews than the veterans, and Tally and government-portal integrations weren't confirmed in our research. See QwikCA vs Finexo.
- 5
ERPCA
4.5 From ₹200/user/moERPCA at #5 has the most interesting client-facing idea on this page: a mobile app available in nine languages, sitting on top of a client portal. If a chunk of your list is proprietors and small traders who don't work in English, that one fact changes how many documents arrive on time. Woodapple has run ERPCA since 2008, the task-and-billing pipeline is its strongest muscle, and integrations reach Tally, Google Drive, Dropbox, Razorpay and PayPal at ₹200/user/month. The limits are honest: deep filing automation isn't its centre of gravity, and a few users mention data screens loading slowly at peak. QwikCA vs ERPCA goes deeper.
- 4.5 From Partly public
ATOM, built in Hyderabad by Vider, is #6 and it is the onboarding specialist here: client intake runs KYB-style, so a new client arrives as a structured, verified record rather than a half-filled form. Around it sit DSC management, a GST/IT/TDS/MCA compliance calendar with portal sync, RBAC and timesheets, and integrations including WhatsApp, Google Drive, OneDrive, Razorpay and eMudhra, under ISO 27001 certification; Vider claims 6,000+ users. Techjockey scores it 4.9/5 — from just 13 reviews. Two cautions: there is no mobile app, and although a client portal is listed officially, at least one Techjockey reviewer disputes whether it is actually available, so ask for a live demonstration rather than trusting the spec sheet. Pricing is only partly public. QwikCA vs Vider ATOM has the detail.
- 4.3 From Free / ₹2,950/org/mo (billed annually)
Zoho Practice at #7 has, feature for feature, one of the best-built client portals in this field — secure, self-service, with structured document requests rather than a shapeless upload box, plus Workpapers and WhatsApp and email integration. The catch is where it sits: the client portal, custom modules and client ledgers are Premium-tier features at ₹8,950 per organisation per month billed annually, against ₹2,950 for Standard (up to 5 users) and ₹400/user/month for extra seats, with a free tier for Zoho Finance partners. Outside the Zoho ecosystem the case weakens quickly: no native India ITR or ROC e-filing, no confirmed mobile app, no Capterra reviews yet. See QwikCA vs Zoho Practice and Vider ATOM vs Zoho Practice.
- 8
TaxAdda
4.1 From ₹1,999/yrTaxAdda takes #8 as the lean, honest option for a tax-focused office that wants client tracking without a platform: due-date and client tracking, task delegation, time tracking and bulk SMS, WhatsApp and email — one of only two tools here that still does SMS, which matters more than it should for clients who ignore everything else. Pricing is by client volume with unlimited users: ₹1,999/year (100 GST and 300 income-tax clients), ₹3,999 (250 and 500) and ₹6,999 (500 GST plus unlimited income-tax). A GST task only closes when the GSTN server confirms filing. The gap here is plain — no self-service client portal and no native mobile app. SoftwareSuggest rates it 5/5, from 2 reviews. QwikCA vs TaxAdda compares the two.
- 4.0 From ₹4,999/yr
Quicko Pro is #9 and it solves the other half of client management: getting clients in the first place. The Quicko Infosoft platform (backed by Zerodha's Rainmatter) gives a firm a branded storefront with booking, UPI payments, lead capture and public ratings — a client-acquisition front end no other tool here offers — with ITR/GST/TDS work tracking, a document Drive and an AI Sidekick behind it. Plans run ₹4,999/year (up to 5 users), ₹9,999 (25) and ₹14,999 (100), plus a 2.5% gateway cut and a 30-day trial. It ranks last because the record-keeping side is still shallow: no ROC or statutory-audit coverage in our research, no confirmed mobile app, no Capterra reviews yet. Treat it as a front door beside a client master, not instead of one. QwikCA vs Quicko Pro sets out the split.
Client portal vs WhatsApp: you need both
This is the argument we see inside firms most often, and it's a false choice: the two channels do different jobs, and picking one means doing the other badly.
WhatsApp is where the nudge lands. It's the one channel Indian clients reliably open, it needs no password, and a proprietor will answer it from a shop counter at nine in the evening. What it is not is a filing system. Documents arrive as compressed images attached to a phone number rather than a client and a period, the history walks out with the manager who ran the thread, and nothing in a chat tells you which of your 300 clients still hasn't sent March's purchase register.
A client portal is where the document belongs. An upload lands against the right client, service and period, with a version history, an audit trail and permissions that survive staff turnover. Ask it what's outstanding and it answers in one screen. What a portal cannot do is make a client log in — which is why portal-only firms end up chasing by phone anyway.
The combination is the answer: an automated WhatsApp reminder carrying a link into the portal, so the message goes where the client reads and the file goes where your firm can find it in two years. Our client portal glossary entry defines the term, and WhatsApp automation for CA firms covers the Business API and template approval. On storage, versioning and retention, see our best document management software for CA firms guide.
Choosing client management software for CA firms: a two-week test
Don't demo nine tools — pick two against your biggest leak. If documents never arrive, shortlist the tools with a portal and automated chasing: QwikCA, ERPCA or Zoho Practice. If credentials are scattered across spreadsheets, start with QwikCA or Finexo. If your team lives on phones, try Turia; if onboarding is chaos, look at Vider ATOM; if you need clients more than process, Quicko Pro's storefront is the only thing here that does that job; and for a tighter grip on due dates across a small tax list, TaxAdda is honest about being exactly that.
Then run one real test, not a feature comparison. Load 20 actual clients — including your messiest — into each trial, with their GSTINs, credentials and DSC dates. Invite three of them to the portal and count how many log in without a phone call. Send one automated WhatsApp round and count the replies. Our buying guide has the full checklist, moving from Excel covers getting the client list in, and the best billing software for CA firms guide picks up where client management ends — at the invoice.
Client management software for CA firms: FAQs
What is the best client management software for CA firms in 2026?
QwikCA tops our list at 4.8/5 because it holds the whole client relationship in one place: a client vault and CRM with a lead-to-client pipeline, a client portal and a client mobile app, WhatsApp Business API and email automation for chasing, DSC expiry tracking and a UDIN register, and AES-256 document storage with data residency in India. It is proven across 2,000+ firms and 5,000+ active users. Jamku (4.7) and Turia (4.6) are excellent alternatives, and Zoho Practice has one of the best-built client portals if your firm already lives in Zoho.
Is a CRM for chartered accountants different from a sales CRM?
Yes, structurally. Sales CRMs are built around an opportunity that opens, moves through stages and closes. A CA relationship never closes — it repeats, every month and every quarter, for years. So the record has to hold statutory identifiers (PAN, GSTIN, DIN, CIN, TAN), portal credentials, DSC expiry dates, the engagement scope and the filing status of every period, not just a deal stage. Generic CRM platforms can store custom fields, but they have no concept of a GSTR-3B period and no compliance calendar to fire reminders from. Firms that force one into the role end up maintaining a spreadsheet alongside it — the problem they started with.
What should a CA firm's client master record hold?
At minimum: legal name and constitution; PAN, TAN and CIN/LLPIN; every GSTIN with its state and QRMP status; DIN for each director; income-tax, GST, TRACES and MCA portal credentials, encrypted; DSC holder and expiry date; the engagement scope and fee basis; the assigned partner and staff; every contact with their preferred channel; and the filing status of each period, with the UDIN where one applies. If a field lives only in someone's head or a shared spreadsheet, it is not in your client management system.
Do we still need a client portal if clients send documents on WhatsApp?
You need both, and they do different jobs. WhatsApp is where the nudge lands, because it is the one channel Indian clients actually read; a client portal is where the document belongs, because it versions the file, ties it to the right client and period and keeps an audit trail. The pattern that works is a reminder over WhatsApp carrying a link into the portal. Our guide to WhatsApp automation for CA firms covers the Business API rules and templated messaging.
Is it safe to store income-tax and GST portal credentials in practice software?
It is safer than the alternative most offices use, which is a shared spreadsheet or a WhatsApp group. Insist on five things: encryption at rest (AES-256 is the standard claim), TLS in transit, role-based access so an article doesn't see every client's login, an access log, and clarity on where the data physically sits. QwikCA states AES-256 at rest, TLS 1.3 and Indian data residency; Finexo ships an encrypted credential vault. Get those answers in writing during the demo.
How much does client management software for CA firms cost in 2026?
Verified 2026 figures, all excl. 18% GST: TaxAdda from ₹1,999/year by client volume with unlimited users; QwikCA flat yearly plans from ₹1,000 (Solo) to ₹27,000 (Enterprise, 60 users), unlimited clients throughout, or ₹100/user/month billed yearly; Quicko Pro from ₹4,999/year plus a 2.5% gateway cut; Finexo ₹5,999/year for 10 users; Jamku from ₹6,500/year for 5 users; Turia ₹100–₹200/user/month with a 5-user minimum; ERPCA ₹200/user/month; Zoho Practice free for Zoho Finance partners, ₹2,950/org/month Standard or ₹8,950/org/month Premium (billed annually) if you want the client portal.
